The rules for using JAPAR, booking mentors and participating safely in the community

These Mentee Terms and Conditions (“Terms”) form a binding agreement between you and Japar Ltd, the company operating japar.org and the JAPAR platform (“JAPAR”, “we”, “us” or “our”), governing your access to and use of the JAPAR website, applications, communities, booking tools, payment features, AI-assisted features and related services (together, the “Platform”).
By creating an account, clicking to accept these Terms, booking a mentor, joining a community, using a JAPAR tool or otherwise using the Platform, you agree to these Terms and any policies expressly incorporated into them. If you do not agree, do not use the Platform.
Some features may be subject to additional terms shown before you use them. If there is a conflict, the feature-specific terms apply to that feature only.
You must be at least 18 years old and legally capable of entering into a contract to create a standard JAPAR mentee account or purchase Mentor Services, unless JAPAR expressly launches a supervised programme with separate age-appropriate terms and safeguards.
You must provide accurate, current and complete information and keep your account details up to date. You may not impersonate another person, create accounts for deceptive purposes, or allow another person to use your account in a way that bypasses identity, safety or payment controls.
You are responsible for activity carried out through your account and for keeping login credentials secure. Tell us promptly if you suspect unauthorised access.
JAPAR is a technology-enabled marketplace and community designed to help people discover mentors, access lived experience, participate in communities and use practical relocation, career and settlement tools.
Unless JAPAR expressly states otherwise for a specific service, mentors are independent providers and are not JAPAR employees, agents, immigration advisers, recruiters, lawyers, accountants, financial advisers or representatives. JAPAR may verify certain information, set platform standards and take safety or quality action, but this does not make JAPAR the provider of each mentor’s professional or mentoring service.
JAPAR is not a government body and does not make visa, immigration, employment, housing, education, banking, healthcare or other third-party decisions.
Mentors may share personal experience, practical suggestions, coaching, general educational information and signposting. Outcomes depend on many factors outside the control of JAPAR and mentors.
Unless a mentor is separately authorised and clearly identifies the regulated capacity in which they are acting, you must not treat mentoring as regulated immigration advice, legal advice, medical advice, tax advice, financial advice, investment advice or another regulated professional service.
You remain responsible for your decisions, applications, submissions, deadlines, documents and independent verification of important information. For official requirements, use the relevant government, regulator, employer, university, financial institution or qualified professional source.
JAPAR may conduct identity, credential, employment, sanctions, fraud, reference or other proportionate checks on mentors. Verification means only that JAPAR completed the checks described at the relevant time; it is not a guarantee of a mentor’s future conduct, suitability, accuracy or ability to achieve a particular result.
Profile information may be provided by mentors themselves. You should read a mentor’s profile, service description, price, experience, reviews and any professional disclosures before booking.
A booking is confirmed when the Platform shows confirmation and payment or payment authorisation has been completed as required. The booking page, service description, price, cancellation terms and these Terms together form the basis on which the booking is made.
Unless JAPAR expressly identifies itself as the service provider, the Mentor Service is supplied by the mentor and the mentor is responsible for performing that service with the care and skill required by applicable law. JAPAR supplies the Platform services that enable discovery, booking, payment, communications, trust and support.
You must attend on time, use the booking for its intended purpose and provide information reasonably needed for the session. A mentor is not required to extend a session because you joined late.
Prices and any applicable taxes, currency information or platform charges will be shown before checkout where required. By submitting a booking, you authorise the relevant payment provider to charge the payment method you select.
Payments may be processed by third-party payment service providers and may be subject to their terms, identity checks, fraud controls and payment-method rules. JAPAR does not store full payment-card details where these are handled by an authorised payment processor.
You must not use stolen, unauthorised or fraudulently obtained payment methods, initiate an improper chargeback, or attempt to manipulate promotions, referrals, credits or refunds.
The cancellation and refund policy displayed at the time of booking applies to that booking. Different services may have different cancellation windows because mentor availability and session preparation vary.
Where you have a statutory right to cancel an online consumer contract, JAPAR will provide the information and process required by applicable law. If you ask for a service to begin during a statutory cancellation period, you may be asked to make an express request for early performance and acknowledge the consequences of full performance where the law requires this.
If a mentor cancels, fails to attend or materially fails to provide the booked service, JAPAR may arrange a reschedule, credit or refund in accordance with the applicable policy and your statutory rights. Refunds are normally returned to the original payment method unless law or payment-provider rules require otherwise.
Nothing in this section limits any remedy you have where services are not performed with reasonable care and skill or other non-excludable consumer rights apply.
JAPAR invests in discovery, trust, verification, payments, support and safety. You must not intentionally use JAPAR to identify or engage a mentor and then move substantially the same paid mentoring service off-platform mainly to avoid JAPAR’s fees, controls or records.
This does not prohibit ordinary social contact, employment opportunities, friendships, professional networking, relationships that existed independently before JAPAR, or services that are genuinely outside the scope of the JAPAR introduction.
Off-platform payments are not protected by JAPAR’s booking records, refund processes or dispute-support mechanisms.
JAPAR should be a respectful, useful and safe environment. You must not use the Platform to engage in, encourage or facilitate:
JAPAR may remove content, restrict features, pause accounts, cancel bookings or take other proportionate action where these rules are breached or where action is reasonably necessary for safety, legal compliance or platform integrity.
Keep communications relevant, respectful and proportionate. Do not pressure mentors to provide services they have not offered, disclose private information, make guarantees, falsify documents, contact third parties deceptively, or act outside their lawful professional scope.
Do not send highly sensitive personal information unless it is genuinely necessary for an agreed service and the Platform provides an appropriate way to do so. In particular, never send passwords, authentication codes or full payment-card credentials through messages or calls.
If you experience harassment, exploitation, fraud, threats, discriminatory conduct, sexual misconduct, suspicious requests for money or credentials, or another serious concern, stop the interaction where safe to do so and report it to JAPAR at admin@japar.org.
JAPAR may preserve relevant records, restrict accounts, contact affected users, cooperate with lawful authorities, or take other reasonable safeguarding steps. JAPAR is not an emergency service. If there is an immediate risk of serious harm, contact the appropriate local emergency service.
If you submit a review, rating or testimonial, it must reflect your genuine experience and must not be fake, misleading, abusive, discriminatory, defamatory, incentivised without required disclosure, or submitted to manipulate a mentor’s reputation.
JAPAR may use proportionate measures to verify reviews, label relevant incentives, reject or remove reviews that breach these Terms, and investigate suspicious review activity. We may preserve a record of moderated reviews for fraud, safety, dispute and compliance purposes.
Mentors may respond to reviews in accordance with Platform functionality, but neither party may retaliate against the other for a good-faith complaint or genuine review.
You retain ownership of content you create and upload to JAPAR, such as posts, comments, questions, profile information and permitted media (“User Content”). You grant JAPAR a worldwide, non-exclusive, royalty-free licence to host, reproduce, format, display, distribute and technically process User Content only as reasonably necessary to operate, improve, secure, promote and provide the Platform, subject to our Privacy Notice and any feature-specific controls.
You must have the rights needed to upload User Content. Do not upload material that infringes copyright, privacy, confidentiality, trade marks or other rights.
JAPAR and its licensors own the Platform, branding, software, designs, databases, original editorial material and other JAPAR intellectual property. These Terms do not transfer ownership to you.
JAPAR may offer AI-assisted search, summarisation, translation, recommendations, planning tools, session preparation, content suggestions or other automated features. AI outputs can be incomplete, outdated or incorrect and must not be treated as a substitute for official information or appropriately qualified professional advice.
Where an AI feature uses your content or account information, JAPAR will process that information in accordance with the applicable Privacy Notice and feature disclosures. We may use service providers to operate AI functionality subject to appropriate contractual and security safeguards.
Do not submit information to an AI feature that you are not authorised to share. You remain responsible for checking material information before relying on or submitting it to a third party.
JAPAR will not intentionally record or transcribe a mentoring session without an appropriate product notice and any consent or other lawful basis required for the relevant feature and jurisdiction. Where recording or transcription is enabled, the Platform should make that clear to participants.
You must not secretly record a mentor or another user where doing so would breach applicable law, confidentiality obligations or Platform rules. If you wish to make your own recording, obtain any permission required before the session begins.
JAPAR processes personal data in accordance with its Privacy Notice and applicable data protection law. The Privacy Notice explains the categories of information we collect, purposes of processing, lawful bases, sharing, international transfers where relevant, retention and your rights.
Mentors may receive limited personal information reasonably necessary to deliver a booking or interact with you. They must use that information appropriately, but where a mentor independently determines separate purposes for using personal data, that mentor may have their own legal responsibilities.
You must respect other users’ privacy and must not scrape profiles, build unauthorised databases, harvest contact details, re-identify anonymised information or use Platform data for surveillance or unrelated marketing.
JAPAR may link to government websites, employers, banks, insurers, relocation providers, professional advisers or other third parties. A link, integration or listing does not necessarily mean JAPAR endorses or guarantees the third party.
Third-party products and services are governed by their own terms and privacy practices. You should assess them independently before entering into a contract or sharing information.
JAPAR may offer promotional codes, credits, referral rewards or trials subject to stated conditions. Unless required by law, promotional value is not cash, may expire, may be limited to one person or household, and may be withdrawn where obtained through fraud, duplicate accounts, manipulation or breach of the promotion rules.
We aim to provide a reliable Platform but do not guarantee uninterrupted availability. We may maintain, update, test, suspend or change features for security, legal compliance, performance or product development.
Where a change materially affects a paid service you have already purchased, we will respect the applicable booking terms and your legal rights. We may discontinue free or future-facing features without guaranteeing continued availability.
You may stop using JAPAR and close your account subject to outstanding bookings, payments, disputes, fraud checks, record-retention duties and other legal requirements.
JAPAR may restrict, suspend or terminate access where we reasonably believe you have materially breached these Terms, created a safety or fraud risk, misused payments, repeatedly abused mentors or users, evaded enforcement, or where suspension is reasonably required by law or a service provider.
Where appropriate, we will consider proportionality and may give notice or an opportunity to respond. We may act immediately where necessary to protect users, preserve evidence, prevent fraud or comply with law.
Sections that by their nature should continue after account closure - including payment, intellectual property, confidentiality, dispute and liability provisions - continue to apply.
If something goes wrong, contact japar@japar.org and provide the booking reference and relevant information. We may ask you and the mentor for evidence and may review Platform messages, booking records, payment data and other relevant records in accordance with our Privacy Notice.
JAPAR may facilitate a practical resolution between you and a mentor, but doing so does not make JAPAR the provider of the Mentor Service or prevent you from exercising rights available under applicable law.
Nothing in these Terms prevents you from contacting an appropriate regulator, ombudsman, alternative dispute resolution body, payment provider, court or other authority where you are entitled to do so.
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or your statutory consumer rights.
Subject to those protections, JAPAR is responsible for losses that are a foreseeable result of our breach of these Terms or failure to use reasonable care and skill in providing JAPAR’s own Platform services. We are not responsible for losses that were not foreseeable when the contract was formed, losses caused by information you supplied incorrectly, or outcomes controlled by governments, employers, landlords, universities, banks, professional bodies or other third parties.
JAPAR does not guarantee that any mentor, community, AI output, guide, tool or third-party listing will achieve a particular immigration, employment, education, financial, housing or personal outcome.
If you use JAPAR wholly or mainly for business purposes, additional business-user limitations may apply where shown to you and permitted by law.
You are responsible for losses reasonably caused by your unlawful use of the Platform, fraud, deliberate misuse, infringement of another person’s rights or material breach of these Terms. We will not seek to make a consumer responsible for liabilities that cannot fairly or lawfully be imposed on them.
We may update these Terms to reflect legal or regulatory changes, new features, security requirements or reasonable changes to how JAPAR operates. For material changes, we will provide reasonable notice through the Platform, email or another appropriate channel before the changes take effect where required.
Changes will not retrospectively remove rights attached to a completed purchase. If you do not agree to future Terms, you may stop using the Platform, subject to existing bookings and legal obligations.
These Terms are governed by the laws of England and Wales, except that if you are a consumer living elsewhere, you retain any mandatory protections given to you by the law of your country or UK jurisdiction of residence.
If you are a consumer, you may bring proceedings in the courts available to you under applicable consumer and jurisdiction rules. Nothing in these Terms is intended to deprive you of a forum or protection that cannot lawfully be excluded.
If a court or competent authority finds part of these Terms unlawful or unenforceable, the remaining provisions continue in effect. A delay in enforcing a right does not waive that right. These Terms do not give enforcement rights to a person who is not a party, except where applicable law provides otherwise.
We may transfer our rights and obligations under these Terms as part of a reorganisation, financing, merger, acquisition or transfer of the Platform, provided this does not reduce your statutory rights. You may not transfer your account or contractual rights where doing so would compromise identity, safety or payment controls, except where law permits.
